Managing the Fast Track Pool

Add specific members to the Fast Track Pool so they get priority for their next Speaker assignment and can catch up on Pathways speeches sooner.

Before You Begin

  • You must be a club officer (any of the eight officer roles) with an active club subscription.
  • Your club must use Algorithm Mode for scheduling. Fast Track has no effect in Volunteer Signup Mode, because the assignment algorithm never runs there.
  • Your club's role list must include a role named exactly "Speaker." Fast Track only affects that role.

Step 1: Enable the Fast Track Pool

  1. From your officer dashboard, click Schedule Options.
  2. Find the Fast Track Pool section.
  3. Check Enable Fast Track Pool.
  4. Set Minimum weeks between speeches, the number of weeks a Fast Track member must wait after their last speech before they're eligible again. 0 allows back-to-back meetings; the default is 1 week.
  5. Set Maximum Fast Track speakers per meeting. This can't be set higher than the number of Speaker slots your club schedules per meeting.
  6. Click Save Schedule Options.

Step 2: Add Members to the Pool

Only officers can add members to the Fast Track Pool. There's no way for a member to join it themselves, which is one of the ways it differs from the Speaker Signup Pool (more on that below).

  1. On the Schedule Options page, click View & Manage Fast Track Pool.
  2. Under Add Member to Pool, choose a member from the Select Member dropdown. Only active members who aren't already in the pool appear in the list.
  3. Click Add to Pool.

The member now appears in the Pool Members table, along with the date they were added and who added them.

Step 3: Remove a Member from the Pool

  1. On the Manage Fast Track Pool page, find the member's row in the Pool Members table.
  2. Click Remove.
  3. Confirm when prompted.

There's no limit on how many members can sit in the pool at once, and a member can be removed and re-added at any time.

How Fast Track Affects Scheduling

The Fast Track Pool only comes into play when a new schedule is generated. It doesn't do anything when a speaker declines an existing assignment; that's a separate feature (see the comparison below).

For each Speaker slot the algorithm fills, candidates are considered in this order:

  1. Members who have never given a Speaker speech. They come first no matter what, whether or not they happen to be in the Fast Track Pool.
  2. Fast Track Pool members, ranked among themselves by whoever has gone the longest since their last speech.
  3. Everyone else, following the club's normal fairness rotation (longest gap since last Speaker assignment).

Fast Track members rank below members with zero speeches, not above them. If your goal is simply to get brand new members speaking as soon as possible, that already happens automatically and doesn't require the Fast Track Pool at all. Fast Track is for a different situation: giving priority to a member who has spoken before but who you want moved up the queue, for example someone catching up on a Pathways level.

A Fast Track member still has to clear the minimum weeks between speeches gap you configured in Step 1. If they spoke too recently, they don't get Fast Track priority for that meeting.

Once a meeting reaches your Maximum Fast Track speakers per meeting setting, any remaining Fast Track members are excluded from that meeting's Speaker rotation entirely, not simply moved lower on the list. If your pool is larger than the cap, some Fast Track members will sit out meetings where the cap already filled.

Fast Track applies whether or not the separate Prioritize New Speakers setting is turned on; the two are independent (see Prioritize New Speakers).

How This Differs from the Speaker Signup Pool

It's easy to confuse the Fast Track Pool with the Speaker Signup Pool. They solve two different problems:

Use the Fast Track Pool when you want a specific member scheduled to speak sooner than normal rotation would put them. Use the Speaker Signup Pool when you want faster backfill after a speaker declines. A club can run both at once; they don't conflict with each other.

Tips

  • Fast Track doesn't guarantee a member speaks at every meeting. If they're inside their minimum weeks gap, or the meeting's Fast Track cap is already filled by other pool members, they don't get Fast Track priority that meeting.
  • Keep the pool small and intentional. It's meant for members who need a scheduling boost, not as a default setting applied to the whole club.
  • Once a member no longer needs the boost, remove them from the pool so ordinary rotation applies to them again.

Troubleshooting

A Fast Track member wasn't scheduled to speak Check three things: whether they had cleared the minimum weeks between speeches gap since their last speech, whether the meeting's Fast Track cap was already filled by other pool members, and whether they were marked absent or already assigned another role that meeting.

I can't find the "View & Manage Fast Track Pool" link It only appears on the Schedule Options page after you check Enable Fast Track Pool and save.

The Maximum Fast Track speakers per meeting field won't accept the value I want It can't be set higher than the number of Speaker slots configured for your meetings. Lower the value, or increase the Speaker role's slots per meeting first.
