Agenda Back Page

The Agenda Builder can automatically append a static PDF to every printed agenda. Common uses include a club mission statement, a sponsor page, a member contact list, or any other handout you want attached to the back of the agenda.

Step 1 — Upload the PDF to Club Files

The back page must already be in Club Files before you can select it. If you have already uploaded your PDF, skip to Step 2.

  1. Go to Manage Files in the sidebar under Club Administration.
  2. Open or create a folder for your document (for example, "Agenda Resources" or "Officer Resources").
  3. Click Upload File, select your PDF, and click Upload.

Note: Only PDF files can be used as a back page. If your document is in another format (Word, PowerPoint, etc.), convert it to PDF first and then upload it.

Step 2 — Set the club default back page

Once your PDF is in Club Files, set it as the default for all meetings.

  1. Go to Agenda Template in the sidebar (under Scheduling).
  2. Find the Basic Options panel and locate the Default Back Page selector.
  3. Choose your PDF from the list. The list shows PDF files from all of your club's folders.
  4. Click Save Settings.

From this point on, every meeting agenda PDF will include that PDF as a back page.

To remove the club default: Set the selector back to the blank/empty option and click Save Settings. Meetings that were already set to "Use club default" will generate without a back page.


Override or disable the back page for one meeting

Sometimes a meeting's agenda is unusually long, or you want a different back page for a special occasion. You can change the back page for a single meeting without affecting the club default.

  1. Open the meeting agenda and click Edit.
  2. Find the Back Page section on the edit page.
  3. Choose one of three options:
  4. Use club default — inherits whatever the club default is currently set to (the default name is shown in parentheses, or "None" if no default is set).
  5. No back page this week — disables the back page for this one meeting only. The club default is not changed.
  6. Use a specific PDF — choose any PDF from your club's files to use for this meeting only.
  7. Click Save.

The back page choice does not count as a manual agenda edit. This means "Refresh Unedited Upcoming" and meeting resets will revert the choice to the club default. If you want the override to stick across a reset, set the club default instead.


What the overflow warning means

When you open the agenda editor, the app previews your agenda and counts how many pages it would print. If the agenda itself would fill more than one page, you will see a yellow overflow warning banner near the top of the page.

The warning is advisory only. The agenda is never shortened or blocked. It simply tells you the agenda itself no longer fits on a single page — so the clean front/back layout (agenda on the front, your back page on the reverse) no longer works. If a back page is attached, it would print on a later page rather than the reverse of page one.

What to do when you see the overflow warning:

  • If the long agenda is fine and you do not need a back page for this meeting, set the Back Page section to No back page this week.
  • If the long agenda is intentional and you do want the back page anyway, you can safely ignore the warning.
  • If you want to shorten the agenda, remove optional sections or reduce section durations to bring it back to one page.
