New Officer Walkthrough

This is the fastest path to a working club on The Club Schedule. Plan on about 30 minutes if your club is brand new, less if you already have member data on hand.

You can pause and resume — every step links to a deeper article you can come back to later, and your work in each section saves as you go.

Before You Begin

  • You are signed in as an officer (President, VP Education, Secretary, or Admin).
  • Your club has an active or trial subscription.
  • (Helpful) A list of current members with email addresses, ideally as a CSV.
  • (Optional) Recent meeting role history if you want fairness rotation to work from day one.

The 8 Steps

  1. Verify your club settings — name, timezone, meeting day, meeting frequency. ~3 min. Skip if you already double-checked these on signup.
  2. Review and configure roles — confirm the role list matches how your club runs. ~5 min.
  3. Invite your members — bulk CSV import for an established club, single invites for a new one. ~5–10 min.
  4. Import past role history (optional but strongly recommended) — gives the algorithm a fair starting point. ~5 min.
  5. Set your scheduling preferences — Fast Track, Speaker Pool, holidays, frequency caps. ~5 min.
  6. Create your first schedule — generate, review, edit, publish. ~5 min.
  7. Publish and let members confirm — what members see and what they need to do. ~2 min to read.

After the Walkthrough

Once your first schedule is published and members are confirming, the system mostly runs itself. Come back to any step here whenever your club changes — new officers, new roles, a new meeting cadence.
