Step 6: Create Your First Schedule¶
You've got members, roles, and preferences in place. Now the payoff — generate a schedule.
The Flow¶
- Admin Dashboard → Create Schedule.
- Pick a start date (your next regular meeting day) and an end date (4–8 weeks ahead is a good first run).
- Click Generate. The algorithm assigns members to roles for every meeting in that range.
- Review the draft — scan for anything obviously wrong (e.g., a member who's away got assigned, or a role you wanted skipped is filled).
- Edit assignments as needed. Drag-and-drop or click an assignment to reassign it.
- Publish when you're happy. Members get notified.
What "Reviewing" Means¶
The algorithm is good but not psychic. Things to glance at on the first generation:
- Members who have absences set — are they correctly skipped?
- Newer members — are they getting the slots Fast Track promised?
- Major roles (Toastmaster, General Evaluator) — is one person carrying too much?
If something looks off, fix the offending assignment manually. The system remembers your edit.
How Often to Generate¶
Most clubs generate monthly (or every two months for biweekly clubs). You can always extend or regenerate later.
