Viewing Meeting Agendas

See the full agenda for any upcoming meeting, including section times, role assignments, speaker details, and a downloadable PDF.


Before You Begin

  • You must be an active member of a club that has the Agenda Builder enabled.
  • Agendas are available for upcoming meetings in published schedules. Past meetings do not show the Agenda button.

Viewing an agenda

  1. Open any published schedule from the Schedules list or your dashboard.
  2. Click the Agenda button next to the meeting you want to view.
  3. The agenda displays:
    • Meeting date, start time, and location (if set)
    • Meeting Theme and Word of the Day (if your club uses them)
    • Notes for Members (if the Toastmaster or an officer added any)
    • Each section with its title, duration, and start time
    • Role assignments within each section showing who is assigned

Downloading a PDF

Click Download PDF at the top of any meeting agenda to get a printable version. The PDF includes all sections, role assignments, and speaker details.


Editing an agenda (officers and Toastmasters)

If you are a club officer or the assigned Toastmaster for a meeting, you can customize the agenda:

  1. Click Edit at the top of the agenda page.
  2. Adjust meeting-level details (start time, location, theme, Word of the Day, notes).
  3. Edit sections: change titles, durations, descriptions, or add/remove roles.
  4. Fill in Speaker Details (speech title, pathway/project, and time) for speakers in that meeting.
  5. Click Save after each change.

Changes to a meeting's agenda only affect that meeting — they do not change the club's agenda template.

Resetting to the template

If edits need to be undone, click Reset to re-snapshot the agenda from the current club template. This permanently removes all customizations for that meeting.


Tips

  • No agenda button? Your club may not have the Agenda Builder enabled yet. Ask an officer to turn it on under Agenda Template in the sidebar.
  • Missing roles? If a role doesn't appear on the agenda, it may not be linked to a section in the club's agenda template.
  • Speaker details pre-filled? If a speaker has filed their speech through Pathways for this meeting, the title and project fields are pre-filled on the edit page.
