Step 5: Set Your Scheduling Preferences¶
The defaults are sensible for most clubs, but a quick pass through Schedule Options now saves you from rebuilding schedules later.
What's in Schedule Options¶
- Fast Track — automatically prioritize newer members for foundational speech slots so they progress through Pathways faster.
- Speaker Pool / Speaker Signup Pool — let members opt in to volunteer for speaker slots instead of being auto-assigned.
- Frequency caps — limit how often a single member can take the same major role (e.g., "no one is Toastmaster two weeks in a row").
- Role priority order — controls which roles get filled first when the algorithm runs.
- Holidays — block out dates when your club doesn't meet.
Where to Set It¶
Admin Dashboard → Schedule Options for the algorithm preferences. Holidays live under Admin Dashboard → Manage Holidays.
Pick a Few, Skip the Rest¶
You don't have to configure everything today. The two most impactful settings for a brand-new club are:
- Holidays — add the next 3–6 months so the schedule skips those dates automatically.
- Fast Track — turn this on if you have new members who need Pathways speeches scheduled early.
Come back to the rest as you learn how your club uses the system.
