Step 3: Invite Your Members

Members can't be assigned roles until they exist in the system. There are two ways to add them — pick the one that fits where your club is.

Two Paths

If you have a roster of 5+ members already, the bulk CSV import is by far the fastest way. You can upload member name, email, and Toastmasters member number in one shot, and assign officer roles during import.

Path B — Single Invitations (good for trickle additions)

If your club is brand new and members are joining one or two at a time, send individual email invitations. The member gets a link, sets their own password, and lands in the club ready to go.

Don't Forget Officer Roles

When you import or invite, make sure to flag your President, VP Education, Secretary, and any Admin users. Officer flags grant access to scheduling, member management, and dues. You can change officer roles later under Member Profiles.

What Members See Next

Each invited member gets an email with a secure invitation link. They:

  1. Click the link.
  2. Create a password.
  3. Set up their profile (name, contact preferences).
  4. Land on their member dashboard.

If they want, they can read Joining from an Invitation before they accept.
