Joining a Club from an Invitation¶
Accept your club invitation, create your account, and get started on The Club Schedule.
Before You Begin¶
- You need an invitation email from a club officer. If you have not received one, ask your club's President, VP of Education, Secretary, or Admin to send you an invite.
- Invitations expire after 7 days. If your invitation has expired, ask your club officer to send a new one.
Step 1: Open Your Invitation Email¶
- Check your inbox for an email from The Club Schedule with your club invitation.
- Click the Accept Invitation link in the email.
- You will be taken to the invitation acceptance page.

Step 2: Set Up Your Account¶
On the invitation acceptance page, you will see your name and the club you have been invited to join.
- Create a password -- Enter a password that is at least 8 characters long.
- Confirm your password -- Re-enter the same password.
- Review and accept the required agreements:
- Privacy Policy -- You must agree to continue.
- Terms of Service -- You must agree to continue.
- Data Sharing Consent -- Required to join the club. This allows the club to use your information for scheduling and club operations.
- Click Create Account to complete your registration.

Step 3: Log In¶
After your account is created:
- You will see a success message confirming you have joined the club.
- You are redirected to the login page.
- Enter your email address and the password you just created.
- Click Log In to access your dashboard.
What Happens After You Join¶
Once you are a member, here is what to expect:
- Your dashboard shows your upcoming meeting assignments, club announcements, and quick actions.
- Your profile is pre-filled with any information your club officer included in the invitation (name, phone number, address, TM member number).
- Role assignments will begin appearing as your club creates new schedules. You may receive email notifications when you are assigned a role.
- You can update your profile at any time to add or correct your personal information.
Joining Multiple Clubs¶
If you are already a member of another club on The Club Schedule:
- Your existing account is reused -- you do not need to create a new password.
- You will be added to the new club automatically.
- After logging in, you can switch between clubs using the club selector.
- A message will confirm how many clubs you now belong to.
Tips¶
- Check your spam folder if you do not see the invitation email. Look for emails from The Club Schedule.
- Contact your club officer if the invitation has expired. They can resend it with a single click.
- Use a strong password that you do not reuse on other sites. Consider enabling two-factor authentication after logging in for extra security.
- Your profile information (phone, address) was provided by your club officer from club records. Review it on your profile page and update anything that needs correction.
Troubleshooting¶
| Problem | Solution |

| "This invitation link is no longer valid" | The invitation was already used or the token was cleared. Try logging in with your email. If that does not work, ask your club officer to send a new invitation. |
| "This invitation has already been accepted" | You have already created your account. Go to the login page and sign in with your email and password. |
| "This invitation has expired" | Invitations expire after 7 days. Ask your club officer to resend the invitation. |
| "Passwords do not match" | Re-enter both password fields carefully, making sure they are identical. |
| Password is too short | Your password must be at least 8 characters long. |
| I already have an account but got an invitation for a new club | Click the invitation link. The system will recognize your existing account and add you to the new club. Your existing password still works. |
