Volunteering for Meeting Roles¶
Sign up for open meeting roles when your club uses volunteer signup mode, or claim roles that other members have declined.
Before You Begin¶
- You must be logged in to The Club Schedule and be an active club member.
- Your club must have either volunteer signup mode or role claiming enabled. These are club-level settings configured by officers.
- The schedule must be published before you can sign up or claim roles.
Volunteer Signup Mode¶
In volunteer signup mode, the schedule is published with empty role slots, and members sign up for the roles they want.
Signing Up for an Open Role¶
- Go to the published schedule for your club.
- Find an open (empty) role slot that you want to fill.
- Click the Sign Up button next to the empty slot.
- If all checks pass, you are immediately assigned to that role with an "Accepted" status.
Signup Restrictions¶
You may not be able to sign up for a role if:
- You already have a role in that meeting -- Unless the role allows concurrent assignments, you can only hold one role per meeting.
- The meeting is in the past -- You cannot sign up for meetings that have already occurred.
- The schedule is still in draft -- Only published schedules accept volunteer signups.
- You do not meet prerequisites -- Unless your club has disabled prerequisite checks for volunteer mode, you must have completed the required prerequisite roles. For example, a role that requires 3 completed Evaluator assignments will not be available until you have met that requirement.
- Signup scope is limited -- Your club may restrict signups to only the next upcoming meeting. If so, you will not be able to sign up for meetings further in the future.
Canceling Your Signup¶
If you signed up for a role but need to cancel:
- Go to the published schedule.
- Find your assignment.
- Click the Cancel button next to your name.
- Your slot is cleared and becomes available for other members.
Note
You can only cancel signups for future meetings. Past meeting assignments cannot be changed.
Claiming Declined Roles¶
If your club uses the standard assignment mode (automatic scheduling) with role claiming enabled, you can claim roles that other members have declined.
How to Claim a Role¶
- Go to the published schedule.
- Look for roles with a "Declined" status -- these are available for claiming.
- Click the Claim Role button.
- The system checks your eligibility and, if approved, assigns the role to you with a "Pending" status.
Eligibility Checks for Claiming¶
When you attempt to claim a role, the system verifies:
- Role claiming is enabled for your club.
- The role has been declined by the original assignee.
- The meeting is in the future -- Past meetings cannot be changed.
- You meet all prerequisites for the role (e.g., required completions of prerequisite roles).
- You are not absent for that meeting date.
- Concurrent assignment rules -- If you already have a role in the meeting, both roles must allow concurrent assignments.
If any check fails, you will see a message explaining why you cannot claim the role.
Speaker Role Claims and the Speaker Signup Pool¶
If your club uses the Speaker Signup Pool (SSP), Speaker roles may have a special claim window:
- Pool members get an exclusive window to claim open Speaker slots before other members.
- During this window, only pool members can claim the role.
- After the window expires, any eligible member can claim it.

Tips¶
- Check the schedule regularly after it is published. In volunteer mode, popular roles fill up quickly.
- Prerequisites still apply in volunteer mode (unless your club has disabled them). If you are building toward a role that requires prerequisites, focus on completing those first.
- In standard mode, look for declined roles shortly after the schedule is published. Members typically respond to their assignments within a day or two.
- If you have a Hot Seat assignment (a placeholder role), you can still claim other roles. The system will remove your Hot Seat assignment and place you in the claimed role instead.
Troubleshooting¶

| "Volunteer signup is not enabled for this club" | Your club uses automatic assignment mode, not volunteer mode. Ask your club officer about the assignment mode. |
| "Role claiming is not enabled for this club" | Club officers need to enable role claiming in club settings. |
| "This slot is not available" | Someone else has already signed up for this slot, or it has a non-pending status. Refresh the page to see the current state. |
| "You already have a role in this meeting" | You are already assigned to another role in this meeting. You can only hold one role per meeting unless the roles allow concurrent assignments. |
| "You need X more [Role] completions" | You have not completed enough prerequisite roles. Check your role history to see how many you have completed. |
| "You can only sign up for the next scheduled meeting" | Your club has restricted signups to the next meeting only. Wait until that meeting passes to sign up for future ones. |
| "Cannot sign up for past meetings" | The meeting date has already passed. You can only volunteer for future meetings. |
