Viewing Schedule Archives and PDFs

Access and download PDF copies of past meeting schedules for your club.

Before You Begin

  • You must be logged in to The Club Schedule.
  • You must be an active member of the club whose archives you want to view.
  • Archives are only available for schedules that have been previously generated as PDFs.

Accessing Schedule Archives

  1. Log in to The Club Schedule.
  2. Navigate to the Schedule Archives page from the sidebar or a link within the schedule section.
  3. The page displays a list of all archived schedule PDFs for your club, sorted by date.

Understanding the Archive List

Each archive entry shows:

  • Date -- The date the schedule PDF was generated, displayed in a readable format (e.g., "January 15, 2026").
  • File size -- The approximate size of the PDF file in kilobytes.

Downloading a Schedule PDF

  1. Find the schedule you want in the archives list.
  2. Click on the archive entry to open or download the PDF.
  3. The PDF opens directly in your browser.
  4. To save a copy, use your browser's Save or Print to PDF function.

The PDF filename includes your club name and the schedule date for easy identification (e.g., "Sunrise_Toastmasters_schedule_2026-01-15.pdf").

What Is Included in a Schedule PDF

A schedule PDF typically contains:

  • Meeting date(s) covered by the schedule
  • All role assignments for each meeting
  • Member names assigned to each role
  • Meeting details and any special notes

Tips

  • Bookmark the archives page if you frequently need to reference past schedules.
  • PDFs are not cached by your browser for security. Each time you open an archive, it is freshly downloaded.
  • Archives are club-specific. If you belong to multiple clubs, make sure you have the correct club selected.

Troubleshooting

Problem Solution
"You don't have access to this club's archives" You are not an active member of this club. Make sure you are logged in with the correct account and that your membership is active.
"Archive not found" The specific PDF may have been removed or the date is invalid. Return to the archives list and try a different entry.
No archives are listed Your club may not have any archived schedules yet. Archives are created when schedule PDFs are generated.
PDF is not opening Try a different browser or check that your browser supports viewing PDF files. You can also try right-clicking and choosing "Save link as" to download the file directly.
